About this calculator
Enter when a shift starts and ends on the 24-hour clock, subtract unpaid breaks, and the calculator gives hours per day, per week and per pay period — plus gross pay if you add an hourly rate. Shifts that end after midnight are handled automatically: if the end time is earlier than the start time, the calculator assumes the shift crossed into the next day.
How to use it
Use 24-hour times: 9:00 AM is hour 9, 5:30 PM is hour 17 minute 30, 11:00 PM is 23. Enter the total unpaid break in minutes (a 30-minute lunch plus two 10-minute paid breaks is 30, since paid breaks count as work). Set days per week — half days are allowed. Reading the results
- Hours per day is shown as decimal hours (7.50) because payroll systems use decimals; hours and minutes (7h 30m) is shown alongside.
- Hours per week multiplies by the days you work. Over 40, the calculator flags overtime: under the US Fair Labor Standards Act, non-exempt employees must be paid at least 1.5× their regular rate for hours past 40 in a workweek. Overtime premiums are not included in the pay figures.
- Per pay period converts to your pay frequency. Semi-monthly periods average 52 ÷ 24 = 2.1667 weeks and monthly periods 4.3333 weeks, so those figures are averages rather than what any single paycheck will show.
Rounding rules
Many employers round punches to the nearest 5, 6 or 15 minutes. US regulations allow rounding as long as it's neutral over time — rounding always in the employer's favour is not permitted. This calculator uses your exact minutes; if your employer rounds to quarter hours, enter the rounded times.
Converting minutes for a timesheet
Decimal hours = minutes ÷ 60. Fifteen minutes is 0.25, thirty is 0.50, forty-five is 0.75, and ten minutes is 0.17 (0.1667). For multiple shifts with different lengths, run each one and add the decimal hours in the time calculator.
Frequently asked questions
▸How do I calculate hours worked between two times?
Convert both times to minutes since midnight, subtract the start from the end, add 24 hours (1,440 minutes) if the shift ends the next day, subtract unpaid breaks, then divide by 60 for decimal hours.
▸How do I convert minutes to a decimal for my timesheet?
Divide the minutes by 60. 7 hours 20 minutes is 7 + 20 ÷ 60 = 7.33 hours. Writing 7.20 would underpay you by 8 minutes.
▸Do breaks count as hours worked?
In the US, short rest breaks of 5–20 minutes are counted as paid work time under federal rules, while bona fide meal periods of 30 minutes or more where you're fully relieved are unpaid. Enter only the unpaid time in the break field.
▸How are overnight shifts calculated?
If the end time is earlier than the start time, the calculator assumes the shift runs past midnight and adds 24 hours. 22:00 to 06:00 is 8 hours.
▸How many working hours are in a year?
A 40-hour week over 52 weeks is 2,080 hours, the figure US payroll and salary conversions use. Subtract your holidays and leave for the hours you actually work.
